Working Hours: US Hours (9am-5pm EST)

Full-Time, Remote Work.

Salary: South African Rand (ZAR)

Contract Type: Maternity Leave Cover. This role is initially a maternity leave contract; however, due to business growth, there is a strong possibility that the successful candidate may be retained if additional support continues to be required.

We are seeking a highly organized and proactive Practice Manager to oversee and optimize the day-to-day administrative and operational functions of our organization. This role is responsible for improving business processes, ensuring operational efficiency, maintaining compliance, and supporting cross-functional teams to deliver exceptional service. The ideal candidate is a strategic problem-solver who enjoys creating structure, improving workflows, and driving operational excellence.

Key Responsibilities

  • Oversee the daily operational and administrative functions of the business.
  • Develop, implement, and continuously improve operational processes, policies, and Standard Operating Procedures (SOPs).
  • Monitor workflows to identify bottlenecks and implement process improvements.
  • Coordinate cross-functional projects and ensure action items are completed on time.
  • Support leadership with operational initiatives, business improvements, and strategic projects.
  • Ensure accurate documentation, record management, and operational consistency across departments.
  • Collaborate with internal departments to ensure smooth day-to-day operations.
  • Support scheduling, documentation, and service coordination where required.
  • Resolve operational and administrative challenges efficiently.
  • Promote a culture of accountability, continuous improvement, and operational excellence.
  • Provide guidance and support to administrative staff when needed.
  • Maintain professional communication with clients, providers, caregivers, and internal stakeholders.
  • Ensure a high level of customer service through efficient operational support.
  • Address operational issues promptly while maintaining confidentiality and professionalism.
  • Ensure all processes comply with HIPAA and company confidentiality standards where applicable.
  • Prepare operational reports, dashboards, and performance metrics for leadership.
  • Monitor key operational KPIs and recommend improvements based on data.
  • Ensure compliance with company policies, healthcare regulations, and operational standards.
  • Assist with quality assurance initiatives, audits, and process reviews.
  • Manage operational software platforms and internal systems.
  • Identify opportunities to automate manual processes and improve efficiency.
  • Troubleshoot workflow and system issues, implementing effective solutions.
  • Assist with the implementation and optimization of new technologies and operational tools.

Requirements

  • Minimum 3 years' experience in an Administration Manager, Operations Manager, or similar leadership role.
  • Previous experience within the healthcare, social care, ABA, or medical administration industry is essential.
  • Strong operational and administrative management experience.
  • Excellent organizational, planning, and project management skills.
  • Strong written and verbal English communication skills.
  • Advanced proficiency in Microsoft Office and Google Workspace.
  • Experience with scheduling, documentation, and administrative systems.
  • Ability to manage multiple priorities and work in a fast-paced environment.
  • Strong problem-solving skills with a focus on process improvement.
  • Experience developing and implementing Standard Operating Procedures (SOPs).
