The listing
As an Executive Assistant, you will serve as the right hand to the CEO of a fast-growing, venture-backed B2B cybersecurity SaaS company. This is a newly created role, reporting directly to the CEO, built around owning his calendar, inbox, and day-to-day operations so he can stay focused on running the business.
You'll thrive here if you love fast-paced, non-linear work. The CEO moves quickly between his inbox, Slack, and LinkedIn throughout the day, and is looking for someone who can keep pace, anticipate what he needs next, and use AI tools confidently to work smarter.
Responsibilities
- Own the CEO's calendar end-to-end: schedule and reschedule meetings, coordinate availability with internal and external stakeholders, and proactively resolve conflicts.
- Manage a high volume of email, including drafting responses on the CEO's behalf (reviewed together daily at first, with increasing autonomy over time).
- Monitor and manage the CEO's LinkedIn inbox, including responses to inbound investor and prospect outreach.
- Brief the CEO each morning on his schedule and the context for each meeting, so he walks in prepared.
- Track commitments the CEO makes in passing (e.g., "let's put time on the calendar for that") and follow through on actually scheduling them.
- Run a short daily sync with the CEO to review his inbox and priorities, and adapt quickly as he moves between tasks throughout the day.
- Use AI tools (e.g., Claude) to speed up day-to-day work: drafting communications, formatting documents, and other repeatable tasks.
- Handle sensitive information and situations with discretion and good judgment, including flagging time-sensitive personal messages immediately.
- Help assemble PowerPoint presentations from content the CEO dictates, making them polished and presentation-ready.
Requirements
- Excellent written and spoken English. C1 level English or equivalent proficiency
- Prior experience as an Executive Assistant supporting a U.S.-based executive.
- Solid, mid-level EA experience (this is not a fit for someone transitioning into EA work for the first time).
- Strong, hands-on experience with Outlook and standard EA/calendaring workflows; able to be self-sufficient from day one.
- Comfortable and enthusiastic about using AI tools in daily work.
- Highly adaptable, with the ability to context-switch quickly between unrelated tasks throughout the day.
- Comfortable with direct, no-sugar-coating feedback from leadership.
- Based in Latin America, able to work core East Coast (U.S.) business hours.
Preferred Qualifications:
- Experience supporting cross-functional projects. Comfortable tracking status, following up, and keeping initiatives moving without being asked.
- Experience with content or community. Comfortable turning a call transcript or a few bullet points into a polished LinkedIn post using AI tools.
- Comfortable drafting personalized outreach or follow-up emails (e.g., after a sales call) using call transcripts and light research.
- Experience helping build or polish presentations from dictated content.
- Experience working in a startup or fast-growing tech company.
- A genuine, long-term interest in growing as an EA, with the ambition to eventually expand scope across the executive team.
Benefits
- Compensation: $2,500–$2,800/month (some flexibility for the right candidate).
- Schedule: Monday–Friday, 9-hour shift (approx. 9am–5pm ET, with some flexibility) including a 1-hour lunch.
- PTO: Choice of following the U.S. holiday calendar or your home country's calendar.
- Health & Equipment: Healthcare reimbursement eligibility after 90 days; a device stipend of up to $1,500, or reimbursement if you use your own equipment.
