Description:
• Calendar & Meeting Management
Proactively manage a complex, dynamic executive calendar. Coordinate, align, and prioritize internal and external meetings, resolve conflicts, and maintain the AVP's alignment with VB Product & Marketing governance events.
• Presentation & Meeting Preparation
Prepare and compile executive presentation materials, briefs, and agendas for staff meetings, Group Reviews, town halls, and webcasts. Coordinate content collection across teams to ensure timely preparation and distribution.
• Logistics & Travel Planning
Coordinate extensive travel itineraries, flight and hotel arrangements, and logistical schedules for the AVP and key members of the leadership team. Manage onsite operations and smooth execution of large meetings, site visits, and team events.
• Administrative Support & Special Projects
Assist the leader of the operations team and the AVP with special assignments (e.g., headcount accounting during reorganizations, tracking training requirements, and coordinating with L&D) to drive organizational readiness.
Must Have:
• Exceptional verbal and written communication skills with the ability to maintain strong cross-departmental relationships.
• Experience working in a fast-paced, global team environment.
• Advanced proficiency in using Google Workspace.
Education/Experience:
• Bachelor's degree or four or more years of work experience.
• Four or more years of relevant work experience in an administrative support, coordinator, or office operations role (preferably supporting executive-level leadership).
