Real Chemistry is seeking a Coordinator, Events and Partnerships to help deliver thoughtful, well-organized events and partnership programs that strengthen our brand, thought leadership, and business priorities. Reporting to the Associate Director, Events and Partnerships, this entry-level role provides hands-on coordination across live, virtual, and hybrid programs, sponsorships, and partner activations.

The Coordinator will support the details that keep programs moving, including timelines, attendee and speaker logistics, vendor coordination, materials, tracking, and post-event follow-up. This is a strong opportunity for someone who is highly organized, detail-oriented, collaborative, and eager to build a career in events, partnerships, and marketing within a fast-moving healthcare environment.

What You’ll Do

Support Event Planning and Execution

  • Support the planning and delivery of US-based live, virtual, and hybrid events, including owned programs, sponsorships, receptions, panels, webinars, and conference activations.
  • Coordinate event logistics such as schedules, workback plans, attendee lists, registration details, venue and vendor information, speaker materials, signage, shipping, and on-site needs.
  • Help prepare event briefs, run-of-show documents, checklists, contact sheets, and other materials that enable smooth execution.
  • Provide on-site or virtual event support as assigned, including registration, room readiness, speaker support, materials management, and real-time troubleshooting.
  • Complete assigned tasks accurately and on time, escalating risks, changes, or missing information to the Associate Director.

Coordinate Partnerships and Sponsorship Deliverables

  • Support the execution of partnership and sponsorship commitments by tracking deliverables, deadlines, approvals, asset requirements, and fulfillment status.
  • Coordinate routine communications and follow-ups with event organizers, partners, vendors, and internal stakeholders under the direction of the Associate Director.
  • Collect and organize contracts, invoices, vendor forms, creative specifications, speaker information, and other required documentation.
  • Help ensure sponsorship assets and benefits are delivered accurately and consistently with Real Chemistry brand standards.

Collaborate Across Marketing and the Business

  • Work closely with Marketing and Communications, Marketing Operations, content and creative teams, Capability Area leaders, and other internal partners to coordinate event-related inputs and deliverables.
  • Schedule planning meetings, prepare agendas, capture notes and action items, and follow up with owners to keep workstreams moving.
  • Support the development and routing of event communications, invitations, promotional materials, speaker content, and internal updates.
  • Respond to routine stakeholder questions and direct more complex requests or strategic decisions to the Associate Director.

Maintain Tracking, Budgets, and Reporting

  • Maintain accurate event calendars, project trackers, timelines, attendee lists, partner deliverable trackers, and shared files.
  • Assist with budget administration by organizing estimates, purchase information, invoices, expense codes, and reconciliation materials for review.
  • Compile attendance, engagement, lead generation, and other available performance data for post-event recaps and reporting.
  • Help gather feedback, document learnings, and update templates and checklists to improve future programs.
  • Follow established processes for file management, approvals, brand compliance, and vendor coordination.
This Role Is a Good Fit If You
  • Are energized by events and enjoy turning many small details into a seamless experience.
  • Are highly organized, dependable, and comfortable managing multiple assignments and deadlines.
  • Communicate clearly and professionally with colleagues, vendors, partners, and event participants.
  • Have strong attention to detail and take pride in accurate, complete, and polished work.
  • Are proactive about asking questions, surfacing issues, and learning new processes and tools.
  • Enjoy collaborating across teams and can adapt calmly when priorities or event needs change.
  • Are willing to travel and work occasional early mornings, evenings, or weekends when event schedules require it.

What You Should Have

  • Bachelor’s degree in Marketing, Communications, or a related field, or equivalent practical experience.
  • 0–2 years of experience in events, marketing, communications, project coordination, or a related area. Relevant internships, campus leadership, volunteer experience, or part-time roles may count toward experience.
  • Strong organizational and time-management skills, with the ability to follow detailed processes and manage overlapping deadlines.
  • Clear written and verbal communication skills and confidence interacting professionally with internal and external partners.
  • Proficiency with Microsoft 365 applications, including Outlook, Word, PowerPoint, and Excel.
  • Ability to travel for events as needed and to lift or move event materials within reasonable workplace guidelines.
  • Interest in healthcare, life sciences, marketing, communications, or professional services is preferred.
  • Experience supporting events, conferences, student organizations, hospitality programs, vendors, or sponsorship deliverables is preferred.

At Real Chemistry, we believe we're at our best when we're connected. Our Real Hybrid and Regional Teams (Real HART) approach is designed to foster collaboration, learning, innovation, and meaningful relationships while providing flexibility where appropriate. Because our workforce spans multiple countries, regions, and client needs, work arrangements may vary by role and location. Some positions offer hybrid or remote flexibility, while others require regular in-office presence. For example, certain teams and regions, including some of our UK operations, have office-based requirements. Your recruiter will discuss the specific expectations for the role you're pursuing during the interview process and keep you informed throughout the hiring journey. For employees located within a one-hour commute of a Real Chemistry office, we require in-person attendance two days per week, either from a Real Chemistry office or when working onsite with clients. If you require additional flexibility, we welcome an open conversation with your recruiter and our HR team to discuss your needs and determine what may be possible.
