You are an organized, detail-oriented proposal professional with 3–5 years of experience coordinating RFP, RFI, RFQ, or other complex bid responses. You are a strong writer and editor who can interpret solicitation requirements, develop response plans, coordinate cross-functional contributors, manage competing deadlines and version control, and transform diverse inputs into polished, compliant, and professional proposal packages while working effectively as an independent contributor in a fast-paced VAR, technology services, professional services, or consulting environment.

About The Role

The Proposal Manager is an individual contributor responsible for coordinating assigned RFP, RFI, RFQ, and other bid responses within a Value-Added Reseller (VAR) environment. Assigned opportunities will be managed under the direction of the Lead Proposal/Contracts Manager. 

The Proposal Manager will ingest solicitation materials, organize requirements, assemble the appropriate internal response team, identify required content, and determine which materials may be adapted from prior responses or approved content libraries. This role will assign content requests to appropriate subject matter experts, monitor deadlines, follow up on outstanding inputs, and assemble contributions into a polished, compliant, and professional deliverable. 

The role requires strong project coordination, writing, editing, organization, and follow-through. Success requires the ability to manage multiple deadlines, coordinate contributors across functions, and maintain a high level of accuracy and quality without direct reports or direct client interaction.

Must be based in the United States. 

Other responsibilities include: 

  • Manage assigned RFP, RFI, RFQ, and bid responses under the direction of the Lead Proposal/Contracts Manager. 
  • Review and ingest solicitation documents, including requirements, evaluation criteria, instructions, timelines, forms, exhibits, and submission requirements. 
  • Create response plans, compliance matrices, content outlines, schedules, and task assignments for each assigned opportunity. 
  • Assemble the appropriate response team, including sales, technical, delivery, finance, operations, vendor, subcontractor, and subject matter expert resources. 
  • Identify required proposal content and determine whether appropriate material exists in prior responses, templates, approved content libraries, or other company resources. 
  • Assign content requests to the appropriate internal resources and clearly communicate requirements, deadlines, and expected deliverables. 
  • Follow up with contributors on outstanding content, clarify requirements, and escalate delays or issues to the Lead Proposal/Contracts Manager. 
  • Collect, organize, and consolidate responses from multiple contributors into a cohesive proposal package. 
  • Write, edit, and refine proposal content to improve clarity, consistency, grammar, formatting, flow, and alignment with the solicitation requirements. 
  • Develop or coordinate standard proposal components, including executive summaries, company overviews, solution descriptions, project approaches, qualifications, resumes, case studies, and supporting documentation. 
  • Ensure that responses address all applicable requirements and follow the required structure, format, naming conventions, and submission instructions. 
  • Coordinate internal reviews and approvals, incorporating feedback and maintaining version control throughout the response process. 
  • Work with pricing, finance, delivery, and technical resources to incorporate accurate solution details, cost information, staffing plans, assumptions, and supporting documentation. 
  • Track addenda, amendments, clarifications, and changes provided through internal channels or procurement portals, as directed by the Lead Proposal/Contracts Manager. 
  • Prepare final proposal packages for internal approval and submission by the designated owner. 
  • Maintain an organized database of prior responses, reusable content, case studies, resumes, certifications, and other proposal materials. 
  • Evaluate completed proposals for content that may be repurposed, updated, retired, or added to the proposal content library. 
  • Maintain content metadata, including dates, subject areas, contributors, clients, industries, technologies, and approved use cases, to support efficient future searches and reuse. 
  • Support post-submission activities, including clarification responses, revisions, presentations, and other follow-up materials as assigned. 
  • Document lessons learned and contribute to improvements in proposal workflows, templates, tools, and content management practices. 
  • Track assigned proposal activity, deadlines, status, and outcomes for reporting by the Lead Proposal/Contracts Manager. 
  • Support related contracts, compliance, and documentation activities as assigned. 
  • Complete ongoing security awareness training and comply with company policies to the requirements section 
  • Identify and escalate security risks to the appropriate Executive Leadership Team member and actively contribute to remediation efforts 
  • Other duties as assigned 

Desired skills and experience: 

  • 3–5 years of experience in proposal coordination, RFP/RFI response management, sales support, technical writing, project coordination, or a related field. 
  • Strong ability to interpret and organize complex solicitation documents and translate requirements into clear work plans. 
  • Excellent writing, editing, proofreading, and document-formatting skills. 
  • Experience coordinating contributions from cross-functional teams and subject matter experts. 
  • Ability to manage multiple deadlines, priorities, versions, and contributors simultaneously. 
  • Strong follow-through and comfort appropriately reminding contributors about outstanding assignments. 
  • Ability to identify reusable content and organize information for future retrieval. 
  • Strong attention to detail and commitment to accuracy, consistency, and compliance. 
  • Ability to create professional, cohesive documents from content provided by multiple contributors. 
  • Strong organizational, communication, and time-management skills. 
  • Ability to work effectively as an individual contributor without direct reports. 
  • Proficiency with Microsoft Office, document-management tools, collaboration platforms, and proposal-management systems. 
  • Ability to quickly learn new technologies, systems, processes, and solution offerings. 
  • Experience in a VAR, technology services, professional services, consulting, or similar environment preferred.

Pursuant to the NYC Pay Transparency Law, the base salary range in New York City for this position is $110,000, plus opportunities for profit-sharing bonus and/or commission. Compensation in other geographies may vary.
