About the Role
We are hiring a Guest Communications Coordinator to own and execute mass guest outreach across our portfolio of boutique destination events, artist tours, and VIP programs. Reporting directly to the Guest Communications Manager, you will be the detail-driven force behind every email, SMS, and app push notification sent to our guests.
This is a highly operational, hands-on role focused heavily on Artist Services. You will draft copy, build and QA campaigns, monitor deliverability, and field requests from operations, ticketing, and program managers. Because live events run around the clock, you will also serve as the primary after-hours contact for time-sensitive, day-of-show updates. If you are a meticulous proofreader and proactive communicator who thrives in high-energy hospitality or live entertainment environments, this seat is for you.
What You’ll Do
- Build, test, schedule, and send email, SMS, and app push campaigns in Klaviyo across all programs.
- Write clear, on-brand emails, reminders, event updates, and reusable templates—including welcome series for Artist & Event Services.
- Rigorously proofread copy, verify merge fields and active links, and double-check audience segmentation (VIP, specific package, specific dates) before launch.
- Act as the main point of contact for road teams outside standard business hours, drafting and deploying urgent email or SMS alerts for day-of-show changes or weather updates.
- Monitor Klaviyo for hard bounces, invalid addresses, suppressions, and unsubscribe compliance, flagging recurring data issues to program teams.
- Field outreach requests from Program Managers, Operations, and Ticketing, keeping requesting teams updated on send timelines and campaign status.
- Track send volumes, turnaround times, and performance metrics while constantly looking for ways to streamline drafting and QA workflows.
What You Bring
- 1–2 years of experience in email/SMS marketing, guest services, or customer communications (preferably in live events, hospitality, or entertainment).
- Excellent written and spoken English fluency, with top-tier proofreading skills and an obsessive eye for detail.
- Platform familiarity with ESPs like Klaviyo, Mailchimp, or similar marketing automation tools.
- Proven reliability to handle after-hours/weekend requests and determine the right channel (email vs. SMS) under tight deadlines.
- Strong organizational skills to prioritize multiple concurrent requests, with exposure to project management software like Asana.
- Comfortable reading basic data, tracking deliverability issues, and spotting campaign anomalies.
Desired Requirements
- Prior experience working directly with tour management, road teams, or live event ticketing platforms.
- Deep experience in Klaviyo and advanced audience segmentation strategies.
