The listing
The Administration Officer will support the day-to-day administrative, research, and reporting functions of the communications team. This role assists with organizing client assets, maintaining media and influencer databases, monitoring media coverage, and preparing reports to support campaign execution. The position is responsible for keeping shared files, trackers, and documentation accurate and up to date while providing general coordination support across multiple accounts.
- Help sort and file images and info received from clients in Dropbox and on Google drive.
- Update media / KOL lists using Telum, online research, etc.
- General organizational duties – calendar invitations, document formatting, sharing forms or basic email responses to support the team.
- Research media and influencers in Singapore and across Southeast Asia, helping to build and maintain media lists.
- Research various trends and topics for account teams as required.
- Assist with product sourcing for media drops and events on an ad hoc basis.
- Share research findings in PPT or Word format as specified by account teams.
- Monitor internet and social media for publicity / coverage – Google Alerts, Magzter, SPH, MediaCorp and other media titles; Instagram, Facebook and TikTok.
- Clip coverage, save and label PDFs in client Dropbox folders.
- Update various forms and coverage trackers.
- Compile monthly and end of campaign media reports for clients based on coverage and team email updates.
- Help track KPIs / deliverables / metrics to make sure we are delivering on contracted scopes of work.
- Other position-level duties as they arise.
Requirements
- High school diploma or equivalent required; an associate’s or bachelor’s degree in Communications, Marketing, or a related field is preferred.
- Entry-level candidates or those with 3-5 years of experience in an administrative role.
- Previous experience in a PR, social, or advertising agency is advantageous.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Docs.
- Familiarity with Canva, Photoshop, or other graphic design tools is a bonus.
- Exceptional attention to detail and strong organizational skills.
- Excellent time management abilities with a proven track record of meeting deadlines.
- Strong written and verbal communication skills, with the ability to communicate effectively across multiple platforms (email, Teams, WhatsApp).
- Ability to work quickly and thoroughly, managing multiple priorities with ease.
- Takes initiative in identifying and resolving issues, anticipating the needs of the team.
- Works collaboratively with colleagues and contributes to a positive team environment.
