The listing
The Sales Operation Assistant will provide executive, administrative, and sales administration support to the Sales Director and senior managers. This role will support CRM management, client communications, quotes, proposals, tender follow-up, board reporting, email and calendar management, document control, reporting, travel, events, and process documentation to help keep sales activity and business operations organised and moving efficiently.
- Support the Sales Director and senior managers with day-to-day executive, administrative, and sales support requirements.
- Prepare client proposals, quotations, and supporting documents ready for final review.
- Set up, update, and manage client deals, opportunities, and records within the CRM database.
- Support account management activity by following up client communications, tracking responses, and helping ensure deals remain on track.
- Act as client support by responding to client correspondence on behalf of managers where required.
- Manage email correspondence, including tagging, sorting, filing, and organising communications for manager review and action.
- Manage calendars, meetings, appointments, demos, and schedules to ensure manager time is well organised and accounted for.
- Provide personal assistant support where required, including email, calendar, travel, scheduling, and general coordination tasks.
- Schedule appointments, meetings, and demos for the sales team with qualified leads, ensuring all activity is documented in the CRM.
- Assist with document management, formatting, version control, and preparation of professional business documents.
- Conduct online research, data collection, LinkedIn research, and lead searching to support sales and business development activity.
- Assist with tender follow-up, sourcing new contacts, and supporting opportunities outside existing business channels.
- Prepare weekly and monthly reports, including sales, activity, board, and operational reporting where required.
- Assist with board report preparation by gathering information from relevant stakeholders and preparing supporting documentation.
- Support the preparation and documentation of internal company policies, procedures, systems, maintenance manuals, and process documents.
- Use automation tools and integrations to streamline administrative and sales support processes where applicable.
- Coordinate travel bookings, event attendance planning, event staff bookings, and entertainment organisation where required.
- Maintain high professional standards, support team culture, and uphold company values in all internal and external communication.
- Other position-level duties as they arise.
Requirements
- Minimum 4+ years’ experience in executive assistance, sales administration, business administration, client support, or a similar administrative support role.
- Experience supporting senior leaders, directors, managers, or sales teams in a fast-paced business environment.
- Experience with CRM software, including maintaining client records, updating deals, tracking communications, and documenting sales activity.
- Strong experience preparing proposals, quotations, reports, business documents, and client-facing correspondence.
- Experience in sales administration, appointment setting, client follow-up, tender support, or account management support is highly regarded.
- Strong email and calendar management skills, with the ability to organise priorities, meetings, correspondence, and follow-up actions.
- Intermediate Microsoft Word and Excel skills, with strong document formatting, reporting, data entry, and spreadsheet capability.
- Strong written and verbal English communication skills, with confidence dealing with customers, managers, internal teams, and external stakeholders.
- Experience handling incoming and outgoing phone calls professionally is highly regarded.
- Strong organisational skills, with the ability to manage multiple tasks, competing priorities, deadlines, and stakeholder requests.
- High attention to detail across documents, CRM records, reports, communications, formatting, and follow-up activity.
- Ability to work under pressure, meet deadlines, and keep tasks moving without close supervision.
- Proactive, reliable, process-driven, and comfortable supporting both executive administration and sales administration tasks.
- Experience using automation tools, integrations, or workflow improvements to streamline administration is advantageous.
- Professional, ethical, and able to maintain confidentiality when handling client, manager, and company information.
