YOUR OPPORTUNITY
We are seeking a resourceful, proactive People Operations Specialist to serve as the day-to-day People Operations contact for the physician practices in VHP's growing multi-state network. These practices are small and rely on an office manager to handle people matters on site. Working alongside our outside HR partner, you will keep onboarding, leave, timekeeping, and record-keeping accurate at every practice, bring newly acquired practices onto our standard processes, and train office managers to run them well.

WHAT YOU WILL DO
Practice & Office Manager Support
Serve as the first point of contact for practice questions on policy, onboarding, leave, and timekeeping
Train office managers on standard People Operations processes, escalation routing, documentation standards, and our HR partner;s platform, using checklists and job aids to support handoffs when an office manager changes
Compliance, Auditing & Vendor Coordination
Run recurring compliance audits (I-9s, timekeeping, employee classification, record keeping and more) and track findings to resolution
Maintain the state-by-state compliance calendar and serve as day-to-day liaison to our HR partner and background check vendor, referring legal, regulatory, and credentialing questions to leadership and Legal
Employee Relations & Documentation
Coordinate intake and documentation of sensitive employee matters (complaints, terminations, disciplinary records), escalating promptly and flagging inconsistencies for leadership review
Support leave and accommodation reviews, such as FMLA and ADA requests, by gathering documentation and confirming next steps with leadership
New Practice Onboarding & Integration
Support the people-related review of practices we plan to acquire, covering employment compliance, benefits, payroll, paid time off, and open performance reviews
Coordinate employee setup and benefits transition for new practices (I-9/E-Verify, payroll, COBRA, PTO), roll out the handbook and state addenda and track open items through closure
Recruiting Support
Support hiring for practices that ask for VHP's help. Partner with practice leadership on role scoping, sourcing, and screening, and coordinating interview scheduling and offer logistics with office managers
WHAT WILL MAKE YOU SUCCESSFUL HERE
Experience
Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent experience
Minimum of 3 years progressive People Operations or HR experience, ideally in a coordination, shared services, or multi-site support role
Multi-state employment compliance background, required
Background in healthcare, physician practices, an MSO, or another multi-site services setting, highly preferred
Collaborated with an outside HR partner or PEO, or across multiple legal entities, preferred
Supported acquisitions -- reviewing people practices before close and guiding theams through the transition afterward, preferred
SHRM-CP, PHR, or a similar certification preferred
Recruiting background supporting physical practice teams, a plus
Skills & Competencies
Strong judgment and discretion with sensitive employee matters, grounded in working knowledge of federal and multi-state employment law (FMLA, ADA, wage and hour, anti-harassment)
Strong organization and follow-through; able to run recurring audit cycles across many small sites independently
Clear communication and coaching skills for managers without an HR background, and comfort working in HR and payroll systems
