The team works with high-value residential clients and operates with a strong emphasis on professionalism, responsiveness, discretion, organization, and exceptional client service.
JOB SUMMARY
We are looking for an experienced Executive Assistant to provide reliable, proactive administrative and operational support to two real estate principals.
This is a hands-on role for someone who can take ownership of day-to-day administrative workflows and keep the principals organized without needing constant direction.
The ideal candidate is highly organized, confident communicating in English, comfortable working with executives or business owners, and able to manage multiple priorities while maintaining a high level of attention to detail.
You will primarily own calendar management, inbox organization, scheduling, communications, and document workflows, while helping ensure that important tasks and follow-ups do not fall through the cracks.
KEY RESPONSIBILITIES
Executive & Calendar Management
Manage and maintain calendars for two principals across multiple commitments.
Schedule, reschedule, and coordinate meetings and appointments.
Identify scheduling conflicts and proactively recommend solutions.
Prepare the principals for upcoming meetings, appointments, and commitments.
Track important deadlines, follow-ups, and outstanding items.
Email & Inbox Management
Monitor and organize executive inboxes.
Triage incoming emails and determine priorities.
Draft routine responses and correspondence when appropriate.
Flag urgent, sensitive, or high-priority messages for the principals.
Keep inboxes organized and ensure important requests receive timely follow-up.
Communication & Coordination
Communicate professionally with clients, vendors, partners, service providers, and other third parties.
Coordinate appointments, requests, and follow-ups on behalf of the principals.
Follow up with vendors and third parties to ensure tasks are completed.
Maintain a polished and professional communication style consistent with a luxury real estate business.
Document Management
Prepare, organize, update, and maintain business documents.
Work from client-provided templates and ensure documents are accurate and properly formatted.
Maintain organized digital files and folders.
Assist with preparing documents and information needed for meetings, transactions, and administrative tasks.
Administrative & Operational Support
Maintain task lists and follow-up items for the principals.
Help keep recurring administrative processes organized.
Research information and handle routine administrative requests.
Identify opportunities to improve organization and reduce administrative workload.
Take ownership of assigned tasks through completion rather than simply passing them back to the principals.
WHAT WE'RE LOOKING FOR
Mid-level to senior Executive Assistant experience, preferably supporting executives, business owners, entrepreneurs, or high-level professionals.
Bachelor's degree preferred.
Advanced to fluent English, both written and verbal.
Strong calendar and scheduling management experience.
Strong written communication and email management skills.
Excellent organizational and time-management abilities.
High attention to detail.
Comfortable handling confidential and sensitive business information.
Ability to work independently and make sound decisions within the scope of the role.
Strong follow-through and ability to manage multiple priorities.
Professional, polished, and service-oriented communication style.
Real estate experience is a strong plus, particularly luxury residential real estate.

Success means the principals can spend more time focused on clients, relationships, and revenue-generating activities because their administrative workload is being handled reliably.
You will be successful if:

Follow-ups happen without the principals needing to chase them.
Documents are accurate, organized, and ready when needed.
