Job Role: VA (Bookkeeping / Account Management and Payroll)
Compensation range: $1,500 AUD - $2,200 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 8 AM - 4 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: This full-time Virtual Assistant role provides dedicated support across an Australian construction and property development businesses. The position is split between the finance and accounting administration and general operational/admin support. The role is most importably about keeping the day-to-day outgoing and incoming payments, cashflow tracking up to 6, 12 and 18 monthly projections, and all finance related computer systems filed correctly daily to function seamlessly. The ideal candidate is highly organised, detail-oriented and tech-savvy.
Key Responsibilities:
Finance & Accounting
- Run and support weekly payroll and supplier invoices across the construction and development entity, meeting Australian payroll deadlines accurately and on time.
- Collect, chase and reconcile site timesheets/daycards each week, and prepare and issue client invoices in Xero.
- Own accounts-receivable follow-up: proactively chase outstanding debtors and keep AR ageing under control (a key priority for the group).
- Assist with bank reconciliations, month-end tasks and keeping financial records accurate in Xero.
- Create cashflow projections in microsoft excel for up to 18 months based on estimated costs during construction programme
- Weekly meetings with Director regarding weekly expenditure and projected expenditure and cashflow
- Track all construction and development expenses and update computer systems weekly
- Manage insurance administration across both entities — renewals, certificates of currency, and claims paperwork.
Administration & Operations
- Assist the 2 Directors with calendar, emails and administrative work.
- Track and renew group compliance and licences (e.g. labour-hire licences, insurances, registrations) so nothing lapses.
- Support worker onboarding and inductions, and keep subcontractor and supplier documentation and compliance records up to date.
- Coordinate immigration/sponsorship paperwork and related staff documentation where required.
- Handle recurring ordering and logistics — uniforms/PPE, tools and general office/site supplies.
- Manage inbox, calendar and document-filing support for the MD and state managers, and coordinate meetings and travel.
- Take on ad hoc admin projects and continuously look for ways to streamline workflows, including with AI tools like Claude.
- Drafting and updating construction constructs with suppliers as per the Directors instructions
- Setting up and following AI systems for business efficiency and integration
Requirements
Required Skills and Qualifications:
- Previous experience in finance, accounting or bookkeeping with an Australian business
- Strong knowledge of Australian accounting/tax requirements
- Excellent written and spoken English, able to correspond verbally professionally with staff, clients and suppliers
- Highly organised and reliable, able to own repetitive but critical processes and juggle competing priorities across three businesses with minimal supervision.
- Comfortable with Microsoft Office and cloud-based business systems.
- Fast learner of new software systems and a willingness to work on differing tasks and computer systems
