We are seeking a highly organized, proactive, and detail-oriented Executive Assistant & Investor Relations Coordinator based in the Philippines. In this role, you will work directly with our leadership, acting as the right-hand support to the Chairman.

This position sits at the intersection of high-level executive support and investor management. You will be responsible for ensuring our investors feel valued and informed, maintaining seamless communication on the Chairman's behalf, and work with the external agency that handles K1 Tax filings filings so they can keep our investors updated on the progress.

Responsibilities

    • Investor Relations Support:
      • Serve as a reliable, professional point of contact for our investor base.
      • Coordinate and schedule investor communications, meetings, and quarterly reviews.
      • Build and maintain strong, trusting relationships with investors by providing prompt and courteous support to their inquiries.
    • Executive Communications & Correspondence:
      • Manage and draft regular updates, newsletters, and direct correspondence on the Chairman's behalf, ensuring the tone matches their voice and leadership style.
      • Monitor the Chairman's inbox, prioritize incoming requests, and draft responses to ensure timely communication.
      • Prepare briefings, summaries, and talking points for the Chairman ahead of investor meetings.
    • K-1 Filing & Compliance Tracking:
      • Maintain a strict calendar of tax and compliance deadlines.
      • Liaise with our internal finance team, external CPAs, and investors to gather required documentation.
      • Ensure all K-1s and related financial documents are distributed to investors accurately and securely on time.

Requirements

  • Experience: Minimum of 3+ years of experience as an Executive Assistant, Investor Relations Assistant, or in a similar administrative role within finance, real estate, or corporate law.
  • Communication: Exceptional written and verbal English communication skills. You must be highly capable of drafting flawless, professional emails and updates on behalf of a C-level executive.
  • Financial Acumen: Familiarity with US financial and tax documentation (specifically Schedule K-1s) is a massive plus. At minimum, you must possess the extreme attention to detail required to manage sensitive financial timelines.
  • Professionalism: High emotional intelligence and the polished demeanor required to interact with high-net-worth individuals and institutional investors.
  • Tech-Savvy: Proficient in Microsoft Office/Google Workspace, and comfortable using modern CRM or investor portal software (e.g., [Insert software like Juniper Square, Salesforce, Asana]).
  • Independence: Ability to work autonomously in a remote environment, proactively anticipating the Chairman's needs and identifying potential roadblocks before they happen.

  • Full-time availability, committed to a 40-hour workweek.
  • Flexible to work in the US timezone, Monday to Friday.
  • Capable of maintaining a distraction-free work-from-home setup.
  • Possession of a laptop or desktop meeting the minimum specifications: 8GB RAM and i5 operating system.
  • Reliable and high-speed internet connection with a minimum speed of 10 MBPS.
