Position Summary

The Insurance Compliance Specialist – Licensing plays a critical role in ensuring the firm remains compliant with state insurance regulations by managing and maintaining the licensure status of our colleagues and business entities across various jurisdictions. This position is responsible for overseeing the end-to-end licensing lifecycle, including facilitating pre-licensing education and exams, submitting license applications and renewals, managing agency affiliations, and monitoring continuing education requirements. The Specialist also ensures all licensing data is accurately maintained in the system of record and supports internal audits, regulatory inquiries, and departmental projects.


KEY RESPONSIBILITIES

Licensing

  • Facilitate pre-license education and exams
  • Complete and submit license applications
  • Complete and submit license renewals
  • Process resident state changes, ensuring timely license reconciliation between prior and new states of residence
  • Manage colleague contact changes on file with states and the system of record, including name, address, email, and phone updates
  • Monitor Producer and Adjuster Reportable Actions
  • Submit and track required agency affiliations for both business entities and individual producers
  • Process Designated Responsible Licensed Producer (DRLP) updates and changes as needed
  • Monitor colleagues' Continuing Education and facilitate access to the CE vendor
  • Manage business entity licensing, including new applications, renewals, and maintaining accurate lines of authority and affiliations across states
  • Maintain Secretary of State (SOS) registrations and filings for business entities, including monitoring good standing status and completing annual reports
  • Update and ensure accuracy of data within the Licensing System of Record
  • Pull and distribute licensing reports as required by the business, including leadership, audit, and operational requests
  • At the direction of Leadership, assist with licensing-related projects
  • Participate in development of processes and procedures and process improvement initiatives
  • Conduct internal audits of licensing records to ensure compliance with state regulations and company policy
  • Serve as a point of contact for licensing inquiries from colleagues, carriers, and regulators
  • Provide guidance on licensing requirements and state-specific nuances
  • Prepare documentation and respond to state DOI audits or inquiries as needed
