About the Role
Our client is a mortgage broking and commercial lending business based in Queensland, Australia. The Hiring Manager is looking for a dedicated Broker Assistant to take ownership of loan files once initial client contact has been made - managing documentation, lender submissions, and day-to-day admin so the Principal can stay focused on client conversations and growing the business.
The initial focus of this role is entirely on the residential lending workflow. Once that side of the business is running smoothly, there is a strong likelihood the role will expand to include SMSF lending support, the Hiring Manager plans to target his existing client base in that space. Commercial lending is explicitly out of scope for now, to keep onboarding manageable.
Key Responsibilities
Residential Loan Processing (Primary Focus)
- Manage end-to-end residential loan files from handover through to settlement
- Collect, review, and upload client documentation accurately and on time
- Prepare and submit loan applications via Apply Online (AOL)
- Track application progress, chase outstanding conditions, and keep files moving toward settlement
- Communicate proactively with clients, lenders, and other stakeholders to resolve issues before they become blockers
- Maintain accurate, up-to-date records within Mercury and Connective
SMSF Lending Support (Secondary Priority)
- Support SMSF loan processing and documentation once the residential workflow is established
- Assist the Principal in reactivating and re-engaging existing SMSF clients
General Admin & Business Support
- File and attach client data and Biz-Consultings data in Nexus via email
- Run refinance outreach campaigns
- Help reactivate dormant referral partner relationships
- Take on ad hoc administrative tasks to reduce the Hiring Manager's workload
Requirements
Non-negotiable
- Hands-on experience with Connective (aggregator platform)
- Hands-on experience with Nexus Mercury (loan processing / CRM system)
- Hands-on experience with Apply Online (AOL) — used by all lenders for residential submissions
- Solid understanding of the Australian residential mortgage process, end to end
- Attention to detail - having the ability to identify discrepancies or missing information from checklists.
Strong Plus
- SMSF loan assessment and processing experience
- Prior experience working directly with one mortgage broker (rather than only a brokerage back office) so you have a deep understanding and ability to support the entire process opposed to parts of it.
- Understanding self-employed structures, individuals as well as those with more complex structures.
Soft Skills & Working Style
- The client is looking for someone who drives the process rather than waiting to be driven. This is just as important as the technical skill set.
- Coachable and comfortable in seeking support where needed
- Willing and open to improve in areas that require upskilling
- Proactive and confident - owns each file end to end without needing constant direction
- Flags missing documentation and chases clients directly, without waiting to be asked
- Escalates blockers early, rather than letting a file stall
- Comfortable simplifying workflows - e.g. consolidating multiple emails into a single, efficient update rather than sending several separate messages
- Reliable and detail-oriented, with strong written communication in English
- Some who can work with pace and are able to work on different deals, at different stages well and adapt when changes happen.
- Ability to work autonomously but will ask for help when needed.
