About FreedUp
FreedUp places talented Executive Assistants with founders and executives at growing US companies. We free leaders up by saving them time and effort so they can focus on the work only they can do. For our EAs, we aim to be one of the best US companies for LATAM and Filipino talent, with a supportive environment and real room to grow.
About the role
We're looking for an Executive Assistant with real marketing experience to support the US-based founder of a PR firm. This is more than a traditional EA role: you'll be the founder's operations partner and "second brain", someone he can brainstorm with, trust with his clients, and rely on to keep his marketing, calendar and priorities on track.
You'll own the firm's marketing in-house, from LinkedIn and social content to ad and email campaigns, and oversee any freelancers or agencies that support it. Over your first 60 to 90 days, you'll also grow into managing client communication directly. The founder wants someone who knows marketing fundamentals well enough to plug in from day one.
What you'll do
Marketing (Main Priority)
- Own social media and content: post content on LinkedIn and other platforms such as TikTok, and make sure the overall strategy is sound and focused on growing leads.
- Manage LinkedIn: learn the founder's voice from his posts (at least three a week), write and schedule posts, manage automated DM campaigns, and comment on other people's posts on his behalf.
- Run campaigns: plan and run ad campaigns (LinkedIn, Meta) and outbound email campaigns, write the copy, and track results against KPIs.
- Oversee marketing vendors: manage outsourced marketing teams and freelancers, hold them accountable for deliverables, and give the founder an honest view of how they're performing.
- Support PR and media outreach: help draft pitches and materials and track outreach.
Client management
- Send clients their weekly activity trackers and become a familiar point of contact.
- Follow up with clients by email on action items.
- Ramp up to full client communication within 60 to 90 days, and eventually take client calls on the founder's behalf.
Calendar, tasks and planning
- Clean up and organize the founder's long-running to-do list, separating real tasks from ideas, and hold him accountable to his priorities.
- Time-block calendar in half-hour blocks, plan the next day's schedule based on open tasks and priorities, and adjust it after his review.
- Manage Outlook calendar and inbox, prepare meeting briefs and keep follow-ups organized.
- Send a short end-of-day check-in covering what you did, plus any concerns or wins to flag.
- Keep HubSpot up to date and help recruit freelance contractors when needed.
Requirements
Must-haves
- A background in marketing, communications, PR or advertising, through a degree or work experience. A marketing degree is a strong plus.
- Proven, hands-on marketing experience: you know the fundamentals of social media, content and campaigns and can plug in right away.
- At least 3 years of experience as an Executive Assistant, Operations Manager, Virtual Assistant or in a similar support role.
- Excellent written and spoken English (C1 or above).
- Strong writing skills and the ability to adapt to someone else's voice and tone.
- Professional, client-facing communication skills, with confidence on calls.
- Responsive and timely during US Eastern Time business hours.
- Reliable high-speed internet and a quiet home office setup.
Nice-to-haves
- Experience working at a marketing or PR agency (strongly preferred).
- Experience running LinkedIn Ads or Meta ad campaigns.
- Experience growing content on TikTok or other social platforms.
- Familiarity with Outlook, Google Workspace, Slack, Zoom, Canva, LinkedIn's post scheduler and HubSpot.
