Executive Assistant to COO

Executive Assistant OpenFX [Operations] • Miami, London in-office,

About Us

OpenFX is on a mission to move money as freely as data, unrestricted by time zones, banking hours, or legacy systems. We build the infrastructure that powers cross-border payments for institutions: programmatic FX, settlement, collections, and payouts through a single API. Less than 2.5 years after founding, we process $80B in annualized transaction volume. We are roughly 200 people across San Francisco, New York, Miami, London, Amsterdam, Dubai, Bangalore, Mexico City, and Singapore, with regulated entities and license applications spanning the US, UK, EU, UAE, and beyond. The team comes from J.P. Morgan, Goldman Sachs, Visa, Mastercard, Coinbase, Stripe, Rippling, PayPal, Affirm, and Kraken. We are backed by Accel, Atomico, Lightspeed, M13, NFX, and Northzone, amongst several other global tier-one investors.

Role Overview

You will own the operating rhythm around the COO: priorities, calendar, information flow, and follow-through across teams in India, the US, and Europe. You report directly to the COO and work with the leadership team, functional owners, vendors, and external stakeholders to keep the highest-priority operational and strategic work moving.

The company has scaled to roughly 200 people across nine cities in under three years, and the operating cadence has not caught up with it. Much of what you will run does not exist yet in a documented form: how leadership and operational cadences work, how OKRs and commitments are tracked to completion, how performance and board reporting get assembled. You will decide how those run, not inherit them. This is a high-trust seat with real latitude, and the COO should not have to oversee your work.

Key Responsibilities

Own the COO's priorities and operating rhythm

  • Manage the calendar and priorities across India, US, and EU time zones, run the cadence of leadership, operational, and board meetings, and triage information so the right issues reach the COO at the right time.

Drive cross-functional execution and accountability

  • Coordinate strategic and operational initiatives, track company-wide OKRs and action items, establish clear ownership and follow-through, and act as liaison and escalation point across leadership, internal teams, and external stakeholders.

Build operational visibility and decision support

  • Coordinate cross-functional initiatives across the operations team, define clear start and end points, follow up with owners, track progress, surface blockers, and drive actions through to closure.

Run operational logistics and infrastructure

  • Manage vendor relationships, operational tools and systems, and the COO's global travel, and support hiring, onboarding, and contractor coordination as needed.

What We're Looking For

Must-haves

  • Minimum 10 years supporting a C-suite or senior operations leader, 15+ preferred, including time through rapid scaling where you managed rising complexity and anticipated bottlenecks before they surfaced.
  • High agency and independent execution, with a track record of closing loops without oversight.
  • Expert-level calendar and priority management across multiple global time zones.
  • Ability to coordinate cross-functional initiatives independently, create ownership, and drive follow-through across stakeholders.
  • Strong analytical literacy: you can read operational and financial data, judge what matters in it, and assemble dashboards, performance reports and board materials that are ready for executive review.
  • Exceptional organisation and attention to detail, with a track record of accountability.
  • Outstanding written and verbal communication in English, strong enough to ship under an executive's name.
  • High discretion and mature judgement with sensitive operational, financial, and people information, in a regulated fintech.
  • Ability to operate in ambiguity and improve processes and systems as the company scales.

What helps you stand out

  • Experience supporting a COO, Head of Operations, or VP Operations in fintech, payments, or financial services.
  • Experience in a globally distributed company across US, India, and European time zones.
  • Experience supporting an executive based in a different city from you.
  • Experience through rapid organisational or headcount growth, and with operational metrics and board reporting.
  • Background in operations, process improvement, or business analysis alongside executive support.
  • Daily working fluency with Claude, plus Notion, Slack, Google Workspace, Linear, and an HRIS such as Humaans.

What We Offer

  • Competitive salary and benefits package.
  • Equity in a rapidly growing company.
  • Opportunity to work in a fast-paced startup at the forefront of fintech innovation.
  • Opportunity to make a significant impact on global financial infrastructure.
  • Collaborative work culture with emphasis on personal and professional growth.

We are committed to building a diverse and inclusive workplace. All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability, or veteran status.
