About the Role

We are looking for a Junior Executive Assistant to provide reliable administrative and executive support to U.S.-based executives and international clients in a fast-paced, fully remote environment.

In this role, you will help manage day-to-day executive operations by coordinating calendars and meetings, organizing emails and documents, preparing reports and presentations, tracking follow-ups, and ensuring important tasks are completed accurately and on time. This is an excellent opportunity for an organized, proactive professional looking to grow their career in Executive Assistance, Administrative Support, or Virtual Assistance.

Key Responsibilities

  • Manage executive calendars, appointments, and schedules.
  • Monitor, organize, and respond to emails and other professional communications.
  • Schedule and coordinate meetings across different time zones.
  • Prepare presentations, reports, spreadsheets, documents, and other business materials.
  • Take meeting notes and minutes, track action items, and follow up on pending tasks.
  • Organize digital files and maintain accurate records using Google Drive and other productivity tools.
  • Provide administrative support for executive projects and day-to-day business operations.
  • Communicate professionally with clients, vendors, and internal team members.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Prioritize multiple tasks, meet deadlines, and adapt to changing priorities.
  • Perform other administrative or executive support tasks as needed.

Requirements

  • Fluent English (C1/C2) and Spanish, with strong written and verbal communication skills.
  • 1–2 years of experience in Executive Assistance, Administrative Assistance, Virtual Assistance, or a similar support role.
  • Experience supporting managers, executives, teams, or business operations is preferred.
  • Proficiency with Google Workspace (Gmail, Google Calendar, Google Drive, Google Docs, and Google Sheets) and Microsoft Office.
  • Strong organizational skills and attention to detail.
  • Ability to manage calendars, emails, documents, meetings, and multiple priorities effectively.
  • Excellent communication, problem-solving, follow-up, and time-management skills.
  • Ability to work independently in a fully remote environment while maintaining professionalism and accountability.
  • Quiet home office, stable internet connection (minimum 10 Mbps download / 2 Mbps upload), and a backup internet connection.
  • Bachelor’s or Associate’s degree preferred.
