About the Role:
A highly detail-oriented and trustworthy Customs Compliance & Documentation Specialist is needed to support the company's Power of Attorney (POA) validation and client onboarding process.
The role will focus primarily on compliance verification, document review, company validation, and identifying potential red flags before new importers are approved. The specialist will review information provided by clients, verify business registrations and officer details, research company addresses, organize documentation, and escalate questionable or incomplete cases to the appropriate team member.
Because the role involves handling confidential client information, including identification documents, EINs, company information, and other sensitive records, security, discretion, accuracy, and attention to detail are critical.
The ideal candidate has customs brokerage, U.S. customs, logistics, or a related background, along with strong common sense, research skills, written communication, and the ability to recognize inconsistencies or potential compliance concerns. Extensive industry experience is preferred, but the client will provide training on their specific validation process and red flags.
Key Responsibilities:
Customs Compliance & POA Validation
- Review POA documents and supporting information for completeness and accuracy.
- Verify company registration, business status, officer information, and addresses using appropriate online sources.
- Research and identify potential red flags, inconsistencies, or indicators of shell companies.
- Follow established compliance rules and escalate questionable cases for further review.
- Conduct additional research when information requires clarification or verification.
Documentation & Records
- Organize and save new client documents in the designated folders according to established procedures.
- Maintain accurate records of validation status, missing documents, and completed reviews.
- Ensure documents are properly organized and stored in the correct location.
- Follow established SOPs and documentation requirements.
Client Communication
- Send professional email follow-ups for missing or incomplete documentation.
- Respond to routine questions related to the validation process.
- Escalate complex compliance questions or concerns to the appropriate team member.
Confidentiality & Security
- Handle sensitive client information, including identification documents, EINs, and company records, with strict confidentiality.
- Follow access controls and security procedures when handling client information.
- Use only the systems and folders necessary for assigned responsibilities.
Qualifications & Ideal Traits:
Must-Have
- Previous experience in customs brokerage, logistics, import/export, compliance, documentation, or a related field.
- Strong attention to detail and ability to identify inconsistencies or red flags.
- Excellent written English and professional email communication skills.
- Strong research, organizational, and follow-up skills.
- Ability to follow detailed procedures while exercising sound judgment.
- High level of integrity and discretion when handling confidential information.
- Comfortable working independently and escalating issues when necessary.
Preferred
- Experience with U.S. customs or customs brokerage.
- Familiarity with POA documentation or importer validation.
- Experience researching U.S. business registrations or Secretary of State records.
- Familiarity with ClickUp, Microsoft Outlook, and AI tools.
Working Environment:
- Fully remote
- Full-time position, approximately 40 hours per week
- Schedule aligned with the client's U.S. business hours
- Extensive initial training provided on the client's compliance process
- Limited system and folder access based on assigned responsibilities
- Opportunity to take on additional customs, logistics, and administrative responsibilities as the role develops
