About the Role
You will manage claims, client communication, and medical treatment coordination for a law firm's California Workers' Compensation practice. The firm needs experienced case management support beyond administrative filings, with an existing administrative team already handling filings and back-office tasks. You will own routine case management issues independently, keep outstanding matters moving, and recognize when legal questions or complex problems require attorney attention. Your work will help injured workers understand their next steps, stay engaged in treatment, and avoid preventable case delays.
Responsibilities
- Keep California workers' compensation cases progressing through independent day-to-day management, timely follow-ups, and clear next steps.
- Give injured workers regular case updates in English and Spanish, answer routine questions, and provide empathetic but persistent follow-up on treatment participation.
- Keep medical care on track by coordinating appointments, treatment plans, referrals, and follow-ups with healthcare providers.
- Identify and address treatment delays by monitoring authorization requests, utilization reviews, and outstanding responses, escalating unresolved barriers to attorneys.
- Move outstanding claim matters toward resolution through consistent communication with insurance adjusters, claims administrators, medical providers, and attorneys.
- Prepare, review, and organize claim forms, medical reports, and supporting records so case documentation is complete and accessible.
- Keep deadlines, hearings, and required filings visible and on track in accordance with California workers' compensation procedures.
- Help attorneys prepare cases by gathering documentation, identifying missing records or unresolved issues, and coordinating necessary follow-ups.
- Maintain accurate case information in the firm's cloud-based system, including communications, treatment status, deadlines, and outstanding actions.
- Coordinate with the administrative support team on filings and back-office work while retaining ownership of client communication and case progression.
Requirements
Must-Have:
- Prior hands-on U.S. Worker's Compensation case management experience, with responsibilities beyond administrative filings.
- Workers' compensation case management experience and practical knowledge of California claims procedures, insurance claims administration, and Workers' Compensation Appeals Board (WCAB) processes.
- Understanding of medical treatment coordination, authorization requests, utilization review, and claims follow-up.
- Strong communication skills in English, including the ability to explain case updates clearly and communicate empathetically with injured workers.
- Availability to work during Pacific Time business hours.
Nice to Have:
- Direct experience independently managing California workers' compensation cases is strongly preferred.
- Experience using cloud-based legal case management software.
- Experience working alongside a dedicated filings or back-office team.
