The listing

We're looking for a highly organized Onboarding Coordinator to help manage customer onboarding and installation projects from start to finish. This role is ideal for someone with a strong customer service background and experience coordinating multiple stakeholders in a fast-paced environment.

As the primary point of contact throughout the onboarding process, you'll work closely with customers, third-party installation vendors, and internal teams to ensure installations are completed on schedule and meet quality standards. Success in this role comes from exceptional organization, proactive communication, and the ability to keep projects moving while providing an outstanding customer experience.

This is a full-time, remote position supporting U.S. Eastern Time business hours (9:00 AM – 6:00 PM EST).

Responsibilities

  • Coordinate customer onboarding and installation projects from kickoff through completion.
  • Schedule installation dates with customers and third-party installation vendors.
  • Serve as the primary liaison between customers, vendors, and internal teams throughout the onboarding process.
  • Track project milestones and ensure all required tasks are completed on schedule.
  • Collect and organize customer documentation and project assets, such as site information and planograms.
  • Communicate project updates, timelines, and next steps to all stakeholders.
  • Escalate technical issues to internal engineering teams and coordinate communication until resolution.
  • Perform remote quality assurance checks after installations to verify successful implementation.
  • Maintain accurate project documentation and update internal tracking systems.
  • Identify potential delays or risks and proactively work with stakeholders to keep projects on track.

Requirements

Required

  • 2+ years of experience in project coordination, onboarding, customer success, account coordination, or a similar client-facing role.
  • Excellent organizational and time management skills with the ability to manage multiple projects simultaneously.
  • Strong written and verbal English communication skills.
  • Customer-first mindset with outstanding interpersonal skills.
  • Experience coordinating across multiple stakeholders, both internal and external.
  • High attention to detail and ability to follow structured processes and checklists.
  • Comfortable working independently in a remote environment.
  • Proficiency with Google Workspace or Microsoft Office.

Nice to Have

  • Experience supporting hardware deployments, field services, installations, or implementation projects.
  • Experience using project management tools such as Asana, Monday.com, ClickUp, Jira, or similar platforms.
  • Experience working with installation vendors or third-party contractors.
  • Familiarity with CRM systems such as HubSpot or Salesforce.
