FreedUp is seeking a proactive and detail-oriented Executive Assistant (EA) to support the Founder and CEO of a fast-growing, multi-unit restaurant group (8 locations and expanding) known for keeping a handcrafted, high-quality product consistent at scale. This role is ideal for someone who thrives on structure, accountability, and operational clarity — a professional who can turn a founder's day-to-day chaos into seamless execution.
We're a high-performance team with a culture built around accountability, clarity, and efficiency. We're looking for a proactive, detail-oriented Executive Assistant (EA) to directly support our client's CEO — helping streamline both his professional and personal operations so he can stay focused on lease negotiations, site selection, legal matters, and leading his team, instead of scheduling, travel, and inbox management.
This is a full-time, remote position that requires strong written communication, organizational excellence, and accountability.

Salary: $800 - $1,600 per month (based on experience)
Requirements
- 3+ years of experience as an Executive Assistant, Operations Coordinator, or similar role supporting senior leadership.
- Excellent written and verbal communication skills.
- Tech-savvy and comfortable working in digital ecosystems (Slack, Notion, Google Workspace, etc.).
- Strong organizational and prioritization abilities.
- Proven ability to manage sensitive information with discretion, including legal and lease-related matters.
- Proactive, self-directed, and thrives in an environment with evolving needs.
- Experience managing both business and personal responsibilities for a founder or executive is a plus.
- Comfortable building and maintaining SOPs, not just executing one-off tasks.
- Technical Requirements: Reliable high-speed internet and a modern home office setup
Key Responsibilities
- Calendar & Inbox Management: Own and optimize the CEO's calendar and inbox to ensure efficient scheduling, focus time, and timely communication. Coordinate meetings with internal team, landlords, legal counsel, and partners; flag priorities and respond on his behalf when appropriate. Maintain alignment between professional and personal calendars.
- Travel Coordination: Plan and manage all flights, hotels, and itineraries end-to-end so the CEO isn't spending hours on logistics for site visits, meetings, or personal travel.
- Process Optimization & SOPs: Document, organize, and continuously improve workflows and Standard Operating Procedures in Notion (or similar). Update SOPs weekly based on feedback from a recurring check-in meeting, working toward increasing ownership and autonomy over time.
- Lease & Legal Logistics Support: Coordinate scheduling, document prep, and follow-ups tied to ongoing lease negotiations and legal matters (administrative support only — not the negotiations or legal work itself).
- Interview Coordination: Schedule and organize candidate interviews for remaining leadership-level hires.
- Personal Support: Assist with light personal and family scheduling needs so the CEO can reliably protect time with family each day.
- Communication & Coordination: Serve as the central communication link between the CEO, internal team, and external partners, maintaining a professional tone and timely updates across all channels.
- Reporting & Accountability: Lead a weekly check-in meeting — present work completed, walk through the agenda, receive feedback, and update SOPs accordingly. Provide structured updates on priorities, progress, and deadlines.
- Tools & Communication: Notion, Slack, Google Workspace (Gmail, Calendar, Drive, Docs, Sheets), task management platforms (Todoist or similar)
- Preferred Communication: Slack (daily), Zoom (weekly check-ins), email summaries
