The listing
We are looking for an organized and reliable Student Coordinator to support day-to-day coaching operations, student administration, scheduling, and communication. This role requires strong attention to detail, good follow-through, and the ability to manage multiple tasks across different systems.
A large part of the role involves preparing and managing coaching call recaps, keeping student records accurate, and making sure schedules, attendance, and updates are completed on time.
Job Responsibilities:
- Manage coaching schedules, calendar updates, reminders, and student rosters.
- Track attendance for coaching calls and follow up on missing or unresolved attendance records.
- Prepare coaching call recaps, send them for approval, and post them once finalized.
- Support student onboarding and offboarding, including account setup, group access, and record updates.
- Keep student information, program details, and assignments accurate across systems.
- Monitor the shared inbox and SMS queue and handle student-related administrative requests.
- Escalate billing concerns, complex issues, or requests that require system changes.
- Create and update SOPs for recurring tasks and processes.
- Track tasks and workload accurately in project management systems.
Requirements
- Experience in operations, coordination, customer success, student support, or administrative support.
- Strong organizational skills and attention to detail.
- Comfortable managing multiple schedules, records, and priorities at the same time.
- Good written and verbal communication skills.
- Able to work independently, take ownership of tasks, and provide regular updates.
- Comfortable learning new systems and working in a fast-paced remote environment.
- Experience creating SOPs or improving recurring processes is a plus.
Tools
Experience with all tools is not required, but familiarity with similar platforms is helpful:
Circle, HubSpot, Aloware, Calendly, Outlook, Zoom, Asana, Slack, and AI productivity tools.
