About the Role
A US-based medical practice is seeking a Medical Patient Representative to join its patient access team. This is a front-line role that serves as many patients' first point of contact with the practice — by phone, voicemail, and messaging. The ideal candidate brings healthcare call center experience, a clear and empathetic communication style, and the ability to work accurately across multiple systems in a fast-moving environment.
Training will be provided on all systems. The practice is looking for someone who can be ready to contribute by November 1, 2026.
Key Responsibilities
- Answer inbound calls promptly across patient queues and route callers to the appropriate team when needed
- Schedule, reschedule, and confirm new and returning patient appointments for both in-office and telehealth visits
- Verify and update patient demographic and insurance information accurately at each point of contact
- Return voicemails and respond to patient messages via the practice messaging platform within the same business day
- Warm-transfer billing and insurance inquiries to the appropriate internal team
- Maintain a professional, patient, and empathetic manner across all patient interactions regardless of call volume or complexity
Systems
The practice uses Athena (EHR and scheduling), Klara (patient messaging), and Phreesia (patient intake). Prior experience with any of these platforms is a plus; full training will be provided.
Qualifications
Required
- Minimum 1 year of call center experience, preferably within a medical practice or healthcare setting
- Working knowledge of US health insurance, including commercial plans, Medicare, Medicare Advantage, and TRICARE
- Clear, professional, and empathetic phone manner — patients may be anxious, in pain, or frustrated, and composure matters
- Strong attention to detail with the ability to accurately capture and update patient information while managing an active call
- Comfortable working simultaneously across multiple platforms and systems
- Reliable high-speed internet connection and a quiet, dedicated home workspace suitable for patient calls
Preferred
- Experience with Athena, Klara, or Phreesia
- Prior experience scheduling telehealth appointments in addition to in-office visits
- Familiarity with HIPAA requirements and patient privacy standards in a remote work context
Schedule and Start Date
- Full-time: Monday through Friday, 8:00 a.m. to 5:00 p.m. Central Time
- Fully remote
- Target start date: November 1, 2026
What We Are Looking For
Patients calling a medical practice are not calling because everything is going well. The Medical Patient Representative is often the first voice a patient hears, and the tone of that interaction sets the tone for their entire experience with the practice. The right candidate understands this and approaches every call with care, accuracy, and professionalism — whether it is a routine appointment confirmation or a frustrated patient with an unresolved concern.
You are organized, detail-oriented, and reliable. You follow through on messages the same day, you document what you do, and you make sure patients leave the interaction feeling heard and taken care of. Healthcare experience is important here — not just because of the systems, but because of the stakes.
