You'll work closely with the Corporate Controller and Assistant Controller, taking ownership of routine AP activities while ensuring accuracy, timely processing, and compliance with internal approval procedures.

Location: Remote – Latin America
Schedule: Approximately 15–20 hours per week, with flexible working hours and availability during U.S. Eastern Time business hours.
Engagement: Part-time, ongoing contract

Responsibilities

  • Process and enter vendor invoices into NetSuite, ensuring accurate invoice details, GL coding, and accounting period assignments.
  • Review invoices for accuracy, completeness, and potential duplicates.
  • Match invoices to purchase orders when applicable and attach supporting documentation.
  • Coordinate invoice approvals with department managers and maintain appropriate payment holds until approvals are received.
  • Monitor and manage the shared Accounts Payable inbox, responding to vendor inquiries and following up on outstanding invoices.
  • Create and maintain vendor records, collecting required documentation such as W-9 forms and ACH payment information.
  • Communicate with vendors to resolve billing discrepancies and obtain missing documentation.
  • Collaborate with the Finance team to address invoice-related questions and support month-end closing activities.
  • Escalate unusual or disputed invoices to the appropriate team members.

Requirements

  • 3+ years of hands-on experience in Accounts Payable, preferably supporting U.S.-based companies.
  • Experience processing vendor invoices and managing AP workflows using an ERP system.
  • NetSuite experience is highly preferred, although candidates with experience in other accounting or ERP platforms will be considered.
  • Basic understanding of accounting principles, including GL coding, accruals, and accounting periods.
  • Familiarity with purchase orders, invoice matching, and approval workflows.
  • Basic proficiency in Microsoft Excel and familiarity with Microsoft 365/Outlook.
  • Strong English communication skills, both written and verbal, for collaborating with a U.S.-based team and communicating with vendors.
  • Excellent attention to detail, organizational skills, and ability to manage responsibilities independently.
  • Availability to collaborate with the team during U.S. Eastern Time business hours.

Nice to have:

  • Experience in e-commerce, consumer products, or healthcare-related industries.
  • Experience with vendor onboarding, W-9 documentation, or 1099 reporting support.
  • Educational background in accounting, finance, or a related field.

Benefits

  • Flexible part-time schedule: Approximately 15–20 hours per week, with flexibility to work mornings or afternoons during U.S. business hours.
  • Ongoing collaboration: Opportunity to build a long-term working relationship with an established U.S.-based company.
  • Collaborative environment: Work directly with experienced finance professionals in a supportive team.
  • Focused responsibilities: Take ownership of AP operations without the expectation of handling complex accounting or payment execution.
