The Utility Billing Specialist provides utility billing services for multifamily housing clients by managing an assigned portfolio of properties, preparing resident utility charges, and supporting client and resident billing needs. This role develops expertise in utility billing operations while ensuring accurate, timely, and high-quality billing services.
 
This is a full-time role (40 hours per week) requiring availability during fixed shift hours from Monday through Friday, 8:00 AM – 5:00 PM. Because this position is remote, candidates must have a quiet, dedicated home workspace free from interruptions during scheduled hours.

Responsibilities:

  • Manage an assigned portfolio of multifamily housing properties

  • Complete monthly resident utility billing activities in accordance with department procedures and KPIs

  • Communicate directly with clients regarding billing requirements, approvals, and billing-related questions through email and phone.

  • Respond to resident inquiries regarding utility charges and billing activity through email and phone

  • Coordinate with internal teams to gather information and resolve billing issues

  • Review billing information for accuracy and identify discrepancies requiring escalation

  • Essential Functions

  • Resolve routine billing issues and escalate complex concerns as appropriate

  • Ability to prioritize tasks effectively by meeting deadlines and managing workload efficiently

  • Minimum Qualifications:

  • Strong written and verbal communication skills

  • Excellent attention to detail and organizational abilities

  • Analytical problem-solving and critical-thinking skills

  • Ability to manage multiple priorities and deadlines

  • Proficiency with Microsoft Excel and Microsoft Office applications

  • Education and Experience Requirements

  • 1–2 years of experience in a customer service role

  • Experience working in a deadline-driven environment

  • Experience in Microsoft Excel and Microsoft Office applications / Google Suite

  • AI & Operational Fluency

    • AI Integration: Proactively leverages company-approved GenAI tools to automate routine tasks and accelerate high-value deliverables.

    • Strategic Oversight: Functions as the "Human-in-the-Loop," taking full accountability for auditing AI outputs for factual accuracy, brand alignment, and the removal of hallucinations.

    • Data Governance: Adheres strictly to AI security protocols, ensuring no proprietary or Personally Identifiable Information (PII) data is exposed to unauthorized models.

    • Prompt Competency: Demonstrates the ability to craft clear, context-rich prompts to achieve consistent, high-quality results across various business domains.
